Gym SMS Marketing Best Practices: Fill Classes and Keep Members by Text
Most gym members do not cancel in one dramatic moment. They miss a class, then a week, then a month, and by the time the cancellation request arrives the habit is already gone. Text messaging lets gyms, boutique studios and health clubs stay in touch at exactly those moments: a reminder before class, a nudge after a missed week, a welcome sequence that builds the habit early. This guide covers what works, with sample messages, timing, compliance basics and the metrics that show whether it is working.
Everything here works with Textmunication SMS/MMS for gyms and health clubs, from a single studio to a multi-location chain.
Why text messaging works for gyms and studios
- Members live on their phones. They book classes, track workouts and check schedules on mobile. A text fits right into that routine.
- It protects attendance. Class reminders and waitlist alerts help keep spots filled and instructors teaching to full rooms.
- It catches drop-off early. A friendly check-in after a member goes quiet is far easier than winning them back after they cancel.
- It converts leads faster. Trial guests and website inquiries expect a quick reply. A text gets the first visit booked while interest is high.
- MMS motivates. A photo of the new studio, a 20-second move demo or a challenge leaderboard is more energizing than plain text. Textmunication sends SMS and MMS from one list.
- It is a conversation. Members can reply to reschedule, ask about childcare hours or freeze a membership, and your front desk answers from one inbox.
12 gym text campaign ideas (with sample messages)
Each sample stays under 160 characters so it sends as a single SMS. Marketing messages include opt-out language; service messages members asked for (such as class reminders) carry it as your program requires. More copy is in our free SMS/MMS templates.

Timing and frequency
- Separate service texts from marketing. Class reminders and waitlist alerts are expected and can be frequent. Keep promotional texts to roughly two to four a month as a starting point.
- Send reminders on a schedule members can count on, such as the evening before an early class or a few hours before an afternoon one.
- Lean into the calendar. New Year, spring and back-to-school are natural moments for membership offers and challenges.
- Reach new leads quickly. The sooner a trial guest gets a reply, the more likely they are to book a first visit.
- Respect quiet hours, even for early-bird gyms. Federal rules restrict telemarketing to 8 a.m. to 9 p.m. in the recipient's time zone, and some states are stricter (Florida is 8 a.m. to 8 p.m.). Do not send marketing texts at 5 a.m. just because your doors open then.
- Tell members what to expect in the opt-in confirmation, then keep to it.
Compliance basics for gym texting
This is a plain-language overview, not legal advice. Check your program with your attorney.
- Get express written consent for marketing texts. Under the TCPA, promotions need the member's prior express written consent: a clear agreement that names your gym, covers marketing texts to their number and does not make signing up for a membership conditional on it. Use a checkbox on your join form or a keyword ("Text FIT to 12345"). A phone number on a membership agreement is not automatic marketing consent. See our opt-in guide.
- Send a confirmation text that names your program, says how often you text, mentions message and data rates, and explains how to opt out and get help, as CTIA guidelines call for.
- Register for 10DLC. If you text from a standard 10-digit number, your business and campaigns must be registered through The Campaign Registry or carriers may filter messages. Textmunication handles the registration with you.
- Honor opt-outs. Include "Reply STOP to opt out" in marketing texts and respect any clear request to stop. FCC rules require opt-outs made in any reasonable way to be honored within 10 business days; STOP replies are processed automatically on our platform.
- Keep personal health details out of texts. Do not include weight, injury, medical or body-composition details in messages. Keep texts about schedules, offers and encouragement.
- Watch quiet hours as described above.
How SAM AI helps gyms and studios
SAM AI is the AI built into Textmunication. It writes, targets and times your campaigns so your team can focus on members.
- AI Copywriter: ask for "a text to fill Saturday's 9am spin" and SAM drafts on-brand options, then A/B tests variations automatically.
- Audience Optimizer: finds members most likely to respond, such as regulars who just went quiet or members who often book a certain class type.
- Send Time Intelligence: sends each message when that member tends to open and respond, within allowed hours.
- Identity Engine: merges member records from your gym software and other sources into one profile, so nobody gets duplicate texts.
Connect your club management software through our gym software integrations and SAM can trigger welcome, missed-visit and renewal texts automatically.
KPIs to track
| Metric | What it tells you | How to use it |
|---|---|---|
| Lead-to-first-visit rate | Inquiries that book and attend a first visit | Test reply speed and trial offers |
| Class fill rate | Booked spots versus capacity | Measure the effect of reminders and waitlist texts |
| No-show rate | Booked members who do not attend | Tune reminder timing |
| Visit frequency | Average check-ins per member per month | Spot members at risk of leaving |
| Member retention / churn | Members who stay versus cancel each month | Judge the impact of missed-visit and win-back texts |
| Win-back rate | Former members who rejoin after a campaign | Compare offers |
| Opt-out rate | Unsubscribes per marketing send | A rising rate means too many promos |
Gym SMS marketing FAQ
How often should a gym text its members?
Service texts such as class reminders and waitlist alerts can go out whenever they are relevant. For promotions, start with two to four texts a month and adjust based on opt-outs and bookings.
Can we text members at 5 a.m. if the gym opens then?
Not for marketing. Federal rules restrict telemarketing to 8 a.m. to 9 p.m. in the recipient's time zone, and some states are stricter. Schedule promotions for later in the morning or early evening.
Do gyms need consent to send class reminders?
Members who give you their number to book classes generally expect reminders about those bookings. Promotional texts need separate express written consent, so keep reminders and marketing clearly separate.
What should a missed-visit text say?
Keep it friendly and helpful. Acknowledge you have missed them, offer something useful like a check-in or a favorite class, and make it easy to reply. Avoid guilt and never mention personal health details.
How does SAM AI help reduce member churn?
SAM AI spots members who are going quiet, drafts a personal check-in, sends it when that member usually responds and tests which messages bring people back, so your team reaches at-risk members before they cancel.
